FINANCE MANAGER

HOW YOU FIT IN:

As our Finance Manager / Bookkeeper, you will be responsible for managing the day-to-day financial operations of the agency and providing strategic financial analysis and guidance to the leadership team and department heads.

This role is a critical link between the agency's creative output and its commercial performance, ensuring sustainable profitability and efficient resource allocation.

This is a hands-on role and as such will be responsible for the day-to-day maintenance of the agency's cashflow performance, financial records, ensuring accuracy, efficiency, and compliance.


WHAT YOU DO:

COMMERCIAL STRATEGY:
Work closely with the GM to define all relevant business metrics and align all reporting processes and tools to manage and measureContinually mentor and educate the project teams on process efficiencies and maximising profitabilitySupport in the preparation of monthly, reporting to be reviewed by the Senior Management teamEngage with external finance, legal, audit and commercial suppliers in the fulfilment of your roleKey stakeholder in the processes and platforms used by the project team to drive financial outcomes


JOB COSTING AND PROJECT FINANCE:
Ensure all project-related costs(production costs, freelance costs etc) are accurately and promptly assigned to the correct client job number in the accounting/job management system.
Support the project team when building project payment / cashflow plans.
Run job profitability reports to support the GM and Head of Studio’s analysis of performance.
Proactively engage project teams to ensure they are compliant with the projects’ commercial process

CASHFLOW MANAGEMENT:
Manage the company's cash flow, ensuring adequate liquidity for operations.Preparation of monthly cashflow reports and reviewed with GM periodically.Identify, assess, and mitigate financial risks, including foreign exchange exposure.

ACCOUNTS PAYABLE:
Process and manage all supplier invoices, ensuring authorisation, coding to correct general ledger accounts (Xero), and allocation to specific client job numbers
Prepare and execute weekly payment runs and commercially manage key supplier relations.
Reconcile client statements and resolve any discrepancies in a timely manner.
Manage petty cash and employee expense reports, ensuring compliance with company policy and accurate job costing

RECEIVABLE & CLIENT BILLING:
Prepare and issue client invoices based on approved client contracts and billing schedules.
Monitor Accounts Receivable, follow up on overdue invoices (credit control), and communicate with GM (and project team lead) regarding outstanding debts.
Accurately record and reconcile daily bank deposits and payment receipts.


STAFF PAYROLL:
Calculate and process employee payments and issuing compliant payslips to all employees.
Calculate and recording all employee leave entitlements and processing approved leave requests.
Calculate and process employee entitlements such as allowances, commissions, bonuses, and expense reimbursement.
Calculate and process final pay (inc. termination), including accrued leave payouts and redundancy entitlements in compliance with the Fair Work Act.
Calculate PAYG withholding tax for each employee and lodging with ATO.
Report salary, wages,PAYG withholding, and superannuation information to the ATO.
Calculate and remit mandatory superannuation contributions to nominated superannuation funds.
Calculate and report state-based Payroll Tax to the relevant state or territory revenue office
Complete annual reconciliations and finalisation declaration to enable the ATO to issue accurate Income Statements to employees.

GENERAL LEDGER AND MONTH-END SUPPORT
Perform bank, credit card, and other balance sheet reconciliations on a daily/weekly basis.Perform monthly and year-end closing process, including preparing basic journal entries.

COMPLIANCE AND ADMINISTRATION
Assist in preparing information for quarterly and annual external audits.Support the preparation of necessary documentation for tax compliance.
Maintain an organized and accurate electronic and physical filing system for all financial records.

QUALIFICATIONS, SKILL & KNOWLEDGE:

Education:
Certificate, Diploma, or Associate's Degree in Accounting, Bookkeeping,or Finance.

Experience:

7 years + years of experience as a Finance Manager and/or Bookkeeper orin a similar accounting support role.
Experience in an Event, Advertising, Marketing or Creative is agency highly valued.

Techincal Skills:

Solid proficiency with accounting software (e.g., QuickBooks,Xero, Sage, or equivalent).
Proficiency in Microsoft Excel, Google sheets and other MS Office applications.
Familiarity with Job Management or Project Tracking software is highly desirable.
Rizer uses Procim, previous experience is not mandatory but highly valued.

Excellent written and verbal communication skills for interactionwith clients, suppliers, clients, and internal staff.
Proven ability to handle confidential information with integrity.
